Administrative Assistant Job Description

As an Administrative Assistant: Legal Cost Validation, you will play a key role in managing the legal costs administration. This means ensuring that legal bills and files are correctly allocated and processed on the legal cost system. Your work will support officers in assessing legal cost payments promptly and accurately.

Key Duties and Responsibilities:

  • Office Administration:
    • Pre-screen and allocate bills and files to the correct RAF branch
    • Update claims and attorney details in the system
    • Sort, stamp, and manage fee analysis and taxation documents
    • Identify if bills relate to High Court merits or quantum
    • Scan and email files to relevant regions if necessary
    • Maintain accurate filing and record-keeping for legal costs
    • Handle internal and external telephone queries related to payments and files
  • Legal Cost Validation:
    • Verify bills against claim numbers and attorney details
    • Check prior payments and ensure offers are loaded on the system
    • Allocate files and bills within set timeframes
  • Batching and Indexing:
    • Print payment histories and record bills manually
    • Submit payments reports to finance on time
  • Reporting:
    • Keep daily and monthly statistics of tasks completed and pending
    • Submit reports as required by management

Qualifications and Experience Required

  • Matric (NQF Level 4) or Grade 12 certificate
  • At least 1 year of relevant experience in claims, litigation, summons, administration, registration, or data capturing
  • Good computer literacy and telephone etiquette
