Personal Assistant Job Purpose
The successful candidate will provide a full secretarial and administrative support service to the Deputy City Manager, ensuring that the office functions efficiently. This includes managing correspondence, organizing meetings, handling confidential information, and ensuring smooth day-to-day operations.
Key Responsibilities
As a Personal Assistant at Ethekwini Municipality, your main duties will include:
Typing & Correspondence:
- Perform fast and accurate typing.
- Manage incoming and outgoing correspondence.
- Handle routine correspondence on behalf of the Deputy City Manager.
- Direct and control telephone calls.
Meeting Coordination:
- Compile and distribute meeting agendas.
- Attend meetings and take detailed minutes.
- Ensure meeting directives are implemented and followed up.
Filing & Records Management:
- Maintain a confidential filing system.
- Update and manage policy and procedural records.
Administrative Duties:
- Provide an efficient support service to the Deputy City Manager.
- Manage the Deputy City Manager’s office in their absence.
Interaction & Communication:
- Receive and assist staff, councillors, and dignitaries.
- Ensure professional and courteous interpersonal relationships.

Minimum Requirements

- Grade 12 (NQF Level 4) or equivalent.
- Administrative Certificate.
