Personal Assistant Job Purpose

The successful candidate will provide a full secretarial and administrative support service to the Deputy City Manager, ensuring that the office functions efficiently. This includes managing correspondence, organizing meetings, handling confidential information, and ensuring smooth day-to-day operations.

Key Responsibilities

As a Personal Assistant at Ethekwini Municipality, your main duties will include:

Typing & Correspondence:

  • Perform fast and accurate typing.
  • Manage incoming and outgoing correspondence.
  • Handle routine correspondence on behalf of the Deputy City Manager.
  • Direct and control telephone calls.

Meeting Coordination:

  • Compile and distribute meeting agendas.
  • Attend meetings and take detailed minutes.
  • Ensure meeting directives are implemented and followed up.

Filing & Records Management:

  • Maintain a confidential filing system.
  • Update and manage policy and procedural records.

Administrative Duties:

  • Provide an efficient support service to the Deputy City Manager.
  • Manage the Deputy City Manager’s office in their absence.

Interaction & Communication:

  • Receive and assist staff, councillors, and dignitaries.
  • Ensure professional and courteous interpersonal relationships.

Minimum Requirements

Essential Requirements:

  • Grade 12 (NQF Level 4) or equivalent.
  • Administrative Certificate.
  • At least 3 years of relevant experience in an administrative/secretarial role.

  • Diploma (NQF Level 6) in Secretarial Studies or Administration.
