Job Description
The SCM Intern will be directly reporting to the Procurement Accountant and will be provided with comprehensive exposure to the procurement processes at Overberg Water. The successful candidate will gain hands-on experience and learn the following functions:
Key Responsibilities:
- Compilation of Bids/Quotations:
- Assist in the compilation of bids and quotations in alignment with Overberg Water’s SCM policies, procedures, and legislative framework.
- Administration of Contracts:
- Learn how to administer contracts in accordance with the SCM policies and the contract management framework.
- Support the maintenance of the contract register and ensure that contracts’ statuses are up-to-date.
- Tender and Quotation Briefings:
- Prepare documentation for briefing sessions related to tenders and quotations.
- Processing of Purchase Requisitions:
- Process purchase requisitions from various end users within stipulated timeframes to ensure smooth procurement operations.
- Creation of Purchase Orders:
- Assist in the creation of purchase orders for goods and services, ensuring that they are in line with procurement needs.
- Document Filing and Security:
- Maintain the filing of SCM documents, ensuring their security, accessibility, and easy retrieval when required.
- Tender Publication and Advertisement:
- Publish bids received and awarded on the National Treasury E-Tender Portal and the Overberg Water Board website.
- Advertise tenders on relevant platforms, including the National Treasury E-Tender Portal, Overberg Water website, and the Construction Industry Development Board (CIDB) if applicable.
- Tender Closing and Reporting:
- Assist in the closing of tenders in accordance with SCM policy and legislative requirements.
- Prepare procurement reports for requests for quotations (RFQs) or requests for proposals (RFPs).
Qualifications and Experience
The ideal candidate should have the following qualifications and experience:
- Academic Qualification:
- National Diploma/Degree/B-Tech in Supply Chain Management, Logistics, or a related field (NQF Level 6 or 7).
- Competencies:
- Problem-Solving Skills: Ability to identify issues and work towards effective solutions.
- Customer Service Skills: Provide quality service both internally and externally.
- Communication Skills: Ability to communicate effectively, both written and verbal.
- Team Player: Ability to work in collaboration with others and contribute to team success.
- Willingness to Learn: Open to learning and gaining knowledge across various functions within the SCM department.
